This policy explains how Netherne Management Limited (NML) collects and uses information when you visit nethernevillage.co.uk. It covers this website only. For how NML handles residents' personal data more generally, please read our full NML Privacy Policy (PDF).

Who we are

This website is run by Netherne Management Limited, a not-for-profit company managed by elected resident directors. NML is the data controller for the information described in this policy.

Address: St Luke's Leisure Centre, Chapel Walk, Netherne-on-the-Hill, Coulsdon, Surrey, CR5 1NZ

Our managing agent, SHW, handles much of the day-to-day administration on our behalf and processes some personal data under our instructions.

What information we collect

When you contact us

If you email us, SHW or the Estate Manager using the addresses on this site, we will receive your name, email address and anything you include in your message. We use this only to respond to your enquiry and to deal with the matter you have raised. Our lawful basis is our legitimate interest in managing the estate and responding to residents and visitors.

Bookings

Village Hall and Pavilion bookings are made through Hallmaster, an external booking system. When you use Hallmaster, your information is collected under their own privacy policy, and shared with NML and SHW only as needed to manage your booking.

Google Search Console

We use Google Search Console to understand how the website performs in Google search results. This gives us aggregated information such as the search terms that led people to the site, the number of times pages appeared in results, the number of clicks, and broad details such as country and device type.

Search Console does not place any cookies on your device, and the information we receive does not identify you personally. We use it to improve the website and make sure residents can find what they need. Our lawful basis is our legitimate interest in running a useful, well-maintained website.

Technical and security data

Like most websites, our hosting provider automatically records technical information when you visit, such as your IP address, browser type and the pages requested. This is used to keep the site secure, prevent misuse and fix technical problems, and is kept for a limited period only.

Google Analytics

With your consent, we use Google Analytics to understand how visitors use the site, such as which pages are most visited and how long people stay. Google Analytics uses cookies to collect this information. We only turn these cookies on if you accept them, and you can change your choice at any time. Our lawful basis is your consent.

Cookies

Cookies are small files stored on your device when you visit a website. This site uses:

  • Essential cookies, which are needed for the website to work properly and securely. These do not require your consent.
  • Analytics cookies, only if you have accepted them, to help us understand how the site is used.

Google Search Console does not use cookies. You can also block or delete cookies through your browser settings, although some parts of the site may not work as expected if you do.

Who we share information with

We never sell your information. We only share it where needed to run the website and manage the estate, with:

  • SHW, our managing agent, who handles enquiries and administration on our behalf
  • Our website hosting provider, who stores the site and its technical logs
  • Google, who provide Search Console (and Google Analytics, where used)
  • Hallmaster, who provide the online booking system

Some of these providers, including Google, may process data outside the UK. Where this happens, appropriate safeguards are in place, such as the UK Extension to the EU-US Data Privacy Framework or standard contractual clauses.

How long we keep information

We keep emails and enquiries only for as long as needed to deal with them and meet any legal or record-keeping obligations. Technical logs are kept for a short period for security purposes. Search Console data is held by Google in aggregated form and is not linked to individuals.

Your rights

Under UK data protection law, you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information in certain circumstances
  • Object to or ask us to restrict how we use your information
  • Withdraw your consent at any time, where we rely on consent

To use any of these rights, please contact us using the details below. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first, so please do get in touch with us before contacting the ICO.
